How to Manage Restricted Funds When Your Accounting Software Can't Keep Up
Restricted fund management is one of the most important and most challenging aspects of charity finance. Most accounting software used by small UK charities was not designed with charity fund accounting in mind — and most small charities end up managing restricted funds in a combination of their accounting system and a parallel Excel spreadsheet.
What Restricted Fund Management Actually Requires
At any point during the year, a charity needs to answer: how much has been received into each fund, how much has been spent, what is the remaining balance, is the charity on track to spend within the required timeframe, and are any funds at risk of overspend or underspend?
Most accounting systems cannot answer these questions without significant manual workaround.
Where Xero and Sage Fall Short
Xero's two tracking category limit forces most charities to manage restricted funds in Excel outside Xero entirely. Sage 50's cost centre reporting does not automatically produce a fund balance report — it has to be produced manually. QuickBooks has no fund accounting concept at all.
The Excel Restricted Fund Tracker: Benefits and Risks
The Excel tracker is the standard workaround. It works — up to a point. The risks are manual entry errors, synchronisation failures when the tracker and the accounting system get out of sync, knowledge dependency on the person who built it, and no audit trail.
How Fyntel Handles Restricted Funds
Fyntel tracks restricted and unrestricted funds natively. Finance officers upload their trial balance and Fyntel produces a fund-by-fund analysis automatically — income received, expenditure charged, balance remaining — for every restricted fund. No parallel Excel tracker. No manual reconciliation between two sources of data.
Fyntel also flags any restricted funds at risk of overspend or significantly underspent relative to the time remaining in the grant period.
