Understanding and forecasting cash flow is particularly important for small charities because the income patterns are inherently lumpy — grants arrive in large instalments, fundraising income peaks at certain times, and payroll goes out every month regardless.
Why Cash Flow Is Different From Profit or Surplus
The surplus shown in management accounts tells you whether income is greater than expenditure. It does not tell you whether the charity has enough cash to pay its bills on time.
A charity can show a healthy surplus and still face a cash crisis if a large grant has been recognised as income but not yet received in cash, restricted income sits in the accounts but cannot be spent on general costs, or a large payment is due before the next income instalment arrives.
The Basic Cash Flow Forecast
Opening cash balance, plus cash inflows by month — grant instalments, contract payments, fundraising, Gift Aid — minus cash outflows by month — payroll, rent, supplier payments — equals closing cash balance each month.
A negative closing balance in any month means the charity will not have enough cash to meet its obligations. That is the warning that requires action.
Common Cash Flow Challenges
Grant payment timing. Payroll timing. Seasonal fundraising income. Restricted cash being confused with available cash — the charity's bank balance includes restricted funds that cannot be spent on general purposes.
